📦 A big stocktake upgrade: plan counts, reconcile in bulk, and catch mid-count stock moves

Stocktake got the most attention this cycle. Several improvements land together and reshape the whole count-to-authorize flow, from planning what to count through reconciling and authorizing safely.

Plan the product list before counting starts

Until now every stocktake started as a blank slate: you began scanning and the list grew as products were found. New "Prepared" mode lets you decide which products should be counted before anyone starts. Choose a warehouse location, pick Prepared mode, and a selection window opens with search by product name or SKU and filters for brand, product type, tag, and state. Multi-select your products, keep your picks while you change the search, and anything already in the stocktake is marked so you cannot add it twice. You can keep refining the planned list right up until counting begins: add more products, or remove one, as long as it has not been counted or reconciled yet. The stocktake list now also shows your draft and completed stocktakes with their status, location, date, reference, and line count.

Reconcile many lines at once

If you run stocktakes across multiple scanners or zones, you no longer have to reconcile line by line. Select several lines and apply one choice to all of them at once: use one scanner's count, add up every scanner's count (the right choice when scanners split the space by zone), accept the current system quantity (recording no variance), or accept the counted quantity only where all scanners agree. Select-all and a bulk action bar appear as soon as you pick a line, and lines you have already resolved are left as they are. Your original scan records are never changed.

Triage by variance before you reconcile

The reconcile screen now separates lines where every scanner agrees (ready to reconcile in bulk) from lines where scanners disagree with each other (worth a manual look), and lets you sort the agreed lines by how far off they are. You can clear the easy, no-variance lines first and work up to the bigger gaps, so reconciliation becomes a real triage step instead of a list you have to work through in order.

Allocate batches while you authorize

For batch-tracked products you can now split the counted quantity across specific batches as part of authorizing the stocktake, without switching to the classic screen. When you authorize, any batch-tracked lines appear together in one window: pick the batches for each line and enter a quantity per batch, and the total has to match the counted quantity before you can confirm. It all applies together, so if anything does not go through, nothing is changed. Batch allocations you made earlier are shown when you reopen a completed stocktake.

Authorizing catches stock that moved during your count

Stock can move between the moment you reconcile a line and the moment you authorize: a delivery arrives, an order ships, someone makes an adjustment. Authorizing now checks for that. If the on-hand quantity for any counted product has changed since you reconciled it, authorizing is paused and you see exactly which products are affected, with the earlier on-hand, the current on-hand, your counted quantity, and the updated variance. From there you can refresh those lines to the current figures and authorize again, or go investigate the movements first. Either way, your counts and reconciliation decisions are kept.

CSV stocktake, now in the new experience

The count-by-CSV workflow is now available in the new stocktake experience, the last piece that was only in the classic screen. Same three steps as before: pick a location, download the stock file, fill in your counts offline, and upload it back. Qoblex records the stocktake on a successful upload and shows you a clear result for each line, including the 10 MB file size limit.
