Smart Ledger Rules for Product-Based Xero Sync


We’ve rolled out a major upgrade to how Qoblex syncs product sales, purchases, and cost-of-goods entries to Xero. This update introduces Smart Ledger Rules, giving you more flexibility and reducing the manual setup required when creating new products.

🔍 What’s New?

1. Product-Level Ledger Mapping (Existing Capability)

Historically, Qoblex has allowed you to map each product to specific ledger accounts in Xero:

  • Sales ledger
  • Purchases ledger
  • Cost of goods sold (COGS)
  • Stock on hand (SOH)
  • Adjustment ledger

When a sales order is synced, Qoblex looks at the product’s ledger settings and splits the invoice into those Xero accounts accordingly.


2. New: Smart Ledger Rules (Major Update)

To simplify this process — especially for teams with large or dynamically growing catalogs — we’ve added Smart Rules under the Xero integration settings.

Smart Rules allow you to automatically assign invoice line items to the correct Xero ledger accounts based on:

  • Product type
  • Product category
  • Xero tracking categories

No more remembering to manually configure ledger settings every time you add a new product.


3. Rule Engine with Priority Ordering

The new rules system processes rules from top to bottom:

  • Qoblex checks each invoice line against your rules.
  • The first rule that matches is applied.
  • The rules engine stops once a match is found.

You can easily reorder rules to adjust priority — simply drag a rule up or down to change the order.


4. Seamless Syncing with Xero

Once a sales order arrives in Qoblex:

  • Each line item is inspected.
  • Smart Rules determine the correct Xero ledger account.
  • Qoblex syncs the invoice to Xero with the proper account allocations and tracking categories.

This ensures consistent, accurate accounting for every product — without manual configuration.


⚠️ Important Note for Existing Users

If you currently rely on per-product ledger settings in your product catalog, you will need to recreate these mappings as Smart Rules under your Xero integration settings. This ensures your existing configurations continue working as expected.
